The next Making Tax Digital deadline for sole traders is 7 November 2026, and the first one under the new regime already passed on 7 August. If your invoices live in a Word template and your receipts live in a shoebox, that calendar is about to turn into a weekend of archaeology every quarter.
Here is what to actually buy. Start by separating two jobs that vendors blur together: getting invoices out quickly (that is where AI helps today) and sending quarterly updates to HMRC from recognised software (that is a compliance requirement, not a feature). Xero's UK site states plainly that it is HMRC-recognised and MTD-compliant software, and its homepage counts down to the 7 November update with the line "Send it to HMRC through Xero". Xero Ignite is GBP18 a month after a 90%-off first-six-months offer that brings it to GBP1.80. FreeAgent is GBP19 a month for sole traders (GBP9.50 for the first six months, GBP190 a year, or free if you hold a business current account with NatWest, Royal Bank of Scotland or Ulster Bank), and its Smart Capture tool extracts data from receipts automatically - 10 documents a month free, unlimited for GBP5 a month. If you only need the invoicing layer, Wave's Starter plan costs nothing and Zoho Invoice advertises $0 invoicing.
What MTD for Income Tax actually asks you for
The rules, as published by HMRC and updated on 7 September 2026:
- Qualifying income is turnover, not profit. It is your total turnover from self-employment and property income, before expenses, taken from the tax return you submitted for the previous tax year.
- The threshold decides your start date. If your 2024-25 return showed qualifying income over GBP50,000, you use MTD for Income Tax from 6 April 2026. Over GBP30,000, it applies from 6 April 2027. Over GBP20,000, from 6 April 2028.
- Digital records become mandatory. HMRC's own guide has a section on creating and keeping digital records of self-employment and property income and expenses. A PDF folder is not a digital record in the sense the service means.
- You need compatible software and you must authorise it. The guide separates "get your software ready" - how to authorise software and check your accounting period - from everything else.
- The dates. Standard update periods run from 6 April 2026 and calendar update periods from 1 April 2026, with quarterly updates due by 7 August 2026, 7 November 2026, 7 February 2027 and 7 May 2027, and a final declaration by 31 January 2028. If you have not started yet and you are over the threshold, 7 November is your first real deadline.
1. FreeAgent - best value if you bank with NatWest, RBS or Ulster
FreeAgent prices a dedicated UK sole trader tier, which is rare among the big four, and its pricing page spells out the offer terms rather than hiding them.
- Sole traders: GBP19 a month standard, GBP9.50 a month for the first six months (50% off); GBP190 a year standard, GBP95 for the first year, equivalent to GBP7.92 a month.
- Free if you hold a business current account with NatWest, Royal Bank of Scotland or Ulster Bank, for as long as you keep the account. Optional add-ons may be chargeable.
- Smart Capture: 10 receipts and bills a month as standard, unlimited for GBP5 a month. This is the AI part of the invoice-to-record pipeline.
- Amazon UK Marketplace connection: GBP6 a month, for anyone selling on Amazon.
- All prices exclude 20% VAT. FreeAgent also markets MTD for Income Tax support for practices and their clients.
If you are already banking with one of those three, this is the cheapest route to compliant software on the list - free - and the GBP95 first-year price beats every paid alternative below.
2. Xero - the clearest MTD statement, and the tax return included
Xero states in writing that it is HMRC-recognised and MTD-compliant software and that you can send quarterly updates through it, which removes the ambiguity you get elsewhere. UK plans, prices exclude VAT:
- Ignite: GBP18 a month after the first-six-months offer (GBP1.80 a month at 90% off). Send quotes and 20 invoices, accept online payments, claim expenses and mileage for one user, submit VAT returns to HMRC, 30-day cash flow forecast.
- Grow: GBP39 a month; adds auto-reconcile transactions, more users, performance dashboards.
- Comprehensive: GBP55 a month. Ultimate: GBP70 a month.
- Optional extras: company accounts and tax GBP120 a year, subcontractor CIS returns GBP5 a month, payroll GBP1.50 per person, auto-reconcile GBP3.50 a month on lower plans.
The Ignite invoice limit - 20 invoices - is the line to check before you buy. A sole trader issuing 25 invoices a month needs Grow at GBP39, which changes the annual cost from GBP216 to GBP468.
3. Wave - free invoicing, with the cheapest AI receipt capture
Wave's Starter plan costs GBP0 equivalent - $0 on its pricing page - and covers unlimited estimates, invoices, bills and bookkeeping records, with card payments at 2.9% plus $0.60 per transaction. The AI piece is receipt capture: OCR turns photographed receipts into bookkeeping records for $11 a month, or $8 a month and $72 a year if billed annually.
- Starter: $0; unlimited invoices, estimates and bills; mobile invoicing; customer and cash flow dashboard.
- Pro: $19 a month or $190 a year; auto-imports and auto-categorises bank transactions, late payment reminders, discounted payment rates.
- Receipt OCR: $11 a month, or $96 a year ($8 a month annually).
Treat Wave as the invoice layer rather than the MTD layer: it is built around North American tax workflows, so pair it with software from HMRC's recognised list when it is your quarterly update that has to land. Where it wins is the free tier plus the lowest receipt-capture price of anything here.
4. FreshBooks - clean invoices and client chasing
FreshBooks is the option for sole traders whose problem is late payers rather than tax mechanics. Prices are in USD:
- Lite: $23 a month standard, currently promoted at $1 a month for the first year; send invoices to 5 clients.
- Plus: $43 a month standard, promoted at $8.60 for three months; invoices to 50 clients, estimates and proposals.
- Premium: $70 a month, promoted at $14 for three months; unlimited clients, project profitability.
- Card payments: 2.9% plus $0.30 per transaction; team members $11 a month each.
The free promo on Lite is real and on the vendor's own pricing page, but read the duration: $1 for twelve months, then $23. On a GBP60,000-turnover business that is a rounding error either way, and the invoicing layer alone does not produce your quarterly updates.
5. Bonsai - if you want contracts and invoices in one place
Bonsai prices per user and bundles contracts, proposals, forms and invoicing, which suits sole traders whose quarterly admin pain is contract renewals rather than invoice templates.
- Basic: $15 a month, or $9 a month per user billed annually.
- Essentials: $25 a month, or $19 billed annually.
- Premium: $39 a month, or $29 billed annually.
- Elite: $59 a month, or $49 billed annually, with a three-user minimum.
Zoho Invoice - the free invoice generator
Zoho Invoice's pricing page leads with $0 for invoicing, which is the right answer if you issue a handful of invoices a month and already have a compliant filing route through an accountant. It is the invoice layer only; do not assume an invoicing suite counts as your MTD quarterly submission until you have seen it on HMRC's recognised software list.
What the five cost over a year for a GBP60,000 sole trader
- FreeAgent with a NatWest, RBS or Ulster business account: GBP0 a year. The single strongest answer on this list.
- FreeAgent without one: GBP95 for the first year, GBP190 thereafter, or GBP19 a month. Normally an allowable business expense - confirm the treatment with your accountant.
- Xero Ignite: GBP216 a year at GBP18 a month, if 20 invoices a month is enough.
- Wave Starter plus receipt OCR: $96 a year for receipt capture, or $72 a year on the Pro plan, with invoicing free - the cheapest paid combination, but the filing side still has to come from somewhere else.
- FreshBooks Lite at full price: $276 a year, or $12 in the first year on the current promo.
Against GBP60,000 of turnover, the paid tiers run at roughly 0.2% to 0.5% a year. The invoice-generating part of that cost is the part AI has genuinely made faster; the quarterly-update part is the part you cannot skip.
Does an AI invoice generator file my quarterly update?
No. Generating an invoice and sending a quarterly update to HMRC are different capabilities, and only the second one is regulated in the sense that matters to you: HMRC expects the update to come from compatible software that you have authorised. An AI tool that turns a job description into a line item on an invoice is genuinely useful, but it does not create digital records of your income and expenses in the format the service consumes, and it cannot submit anything.
That is why the sensible 2026 setup for a UK sole trader is two parts: one tool that keeps records and files, and whatever invoice template or generator you like on the sending side. If you would rather have one tool, buy the filing one - the invoicing is the easy half.
FAQ
Do I have to start now?
Only if your qualifying income is over the threshold for your start date. Over GBP50,000 on the 2024-25 return means 6 April 2026, over GBP30,000 means 6 April 2027, over GBP20,000 means 6 April 2028. Note the measure is turnover before expenses, taken from the previous tax year's return, not this month's profit.
What counts as qualifying income?
Total turnover from self-employment plus property income. Your share of profit from a partnership as an individual partner does not count, and you still report it in your end-of-year return through compatible software. HMRC's guidance on working out qualifying income lists the inclusions and exclusions in detail, including how jointly owned property income is divided.
Can I record expenses on paper and type them in later?
MTD requires digital records of income and expenses, and the guide has a dedicated section on creating and storing them. Best practice for a sole trader is capture at source: photograph the receipt, let OCR read it, and let the software keep the digital record. That is exactly what FreeAgent's Smart Capture and Wave's receipt add-on do, at GBP5 and $11 a month respectively.
Can I claim the software against tax?
Software used for your business is normally an allowable business expense, but the answer depends on your circumstances and on whether you use the cash basis - check with your accountant rather than with a pricing page. What is certain is the arithmetic: at GBP190 a year, FreeAgent costs less than two hours of most UK accountants' time.
What if I am under GBP20,000?
Nothing changes for you until April 2028, and getting into the habit early is optional. If you are close to a threshold, note that HMRC assesses the tax year you have already filed, so a good year can pull you in ahead of the date you were expecting.
